General Information

Same Day Appointments and Appointment Availability

We do our best to offer same-day appointments whenever possible, because your health and peace of mind matter to us—especially when you’re feeling sick or injured. If you need to be seen today, please call our office as early as you can so we can reserve a spot for you, 616-785-3883.

Please note our strict late arrival policy: To ensure each patient receives the attention they deserve, we kindly ask that you arrive on time for your appointment. If you arrive more than 5–10 minutes past your scheduled time, we may need to reschedule your visit. Thank you for your understanding and cooperation!

If you need to cancel or reschedule an appointment, we kindly ask for at least 24 hours’ notice. This helps us care for other patients who may need that time. Cancellations with less than 24 hours’ notice may be subject to a $40 fee (or $60 for extended visits or procedures). These fees also apply to multiple short-notice cancellations.

24/7 Emergency & After-Hours Care

Your care is our priority—day or night. West Michigan Family Medicine offers around-the-clock coverage, with a physician always available to help you, 24 hours a day, 7 days a week, all year long. For routine questions or non-urgent needs, we encourage you to reach out during our regular office hours. If you have an urgent concern after hours, simply call our office to connect with our answering service and an on-call physician will assist you. Please note: excessive or non-urgent use of the after-hours line may result in a $25 charge per call.

Your First Appointment

We’re excited to welcome you! To help make your first visit as smooth as possible, please plan to arrive a little early so we can get any final details taken care of. For your convenience, you can download and fill out your New Patient Paperwork ahead of time and bring it with you to your appointment. Don’t forget to also bring your current insurance card, a list of your medications (including any over-the-counter items), your medical and surgical history, recent test results or records, and the name and contact details of your preferred pharmacy. This helps us give you the best possible care from day one!

Financial Policy

We kindly ask that payment be made at the time of your visit, unless we’ve made other arrangements ahead of time. For your convenience, we accept cash, check, money order, all major credit cards, and online payments through our secure ePay form. Please remember that your health insurance is a contract between you and your insurance company, so it’s a good idea to know what your plan covers. West Michigan Family Medicine partners with most health plans and will gladly bill other carriers on your behalf.

If you’re joining us as a new patient, we invite you to download and complete the forms below before your first visit. Bringing these filled-out forms with you—at least 15 minutes ahead of your scheduled appointment—helps us get you registered quickly and makes your check-in smooth and easy.
